ADDING NEW ASSOCIATIONS

Q: How much effort is involved in bringing on a new Association in FULLfocus?

A: Very little if the property and resident information are availabile in electronic format (Excel, Access, etc). Typically, this requires some rearranging of the data in order to read it into FULLfocus via a MS Excel file. The columns must be set in a specific order such as association ID, street name, street no, etc, in order for FULLfocus to read it in. Once, the speadsheet is ready the properties and residents are quickly imported in bulk. We can do this for you, if requested, at a nominal fee.

INTERNET WEB DATABASE SERVICE

Q: Explain how FULLfocus interacts with the web database service?

A: A subsciption to FULLfocus includes your company database, using SQL Server, and is accessed automatically by FULLfocus via the internet. The database resides on our server and is mangaged by us. You are given a license file that is installed with the progam to order to make this private connection. The only requirement is that computers running FULLfocus have internet access.

It's also important to know that FULLfocus works in a "disconnected" database mode. When the program boots it makes a copy of the database and loads it into the users PC memory. From then on only "saved" changes will be transfered to the database. This enables the program to operate faster and their is no record locking (where other users cannon access records simultaneously). The changes are integrated into the database the only stipulation is that if two users change the same item then the last save wins.

Q: Who owns the data if its on the web server?

A: You do. Our license agreement clearly states that it you own your data. The agreement also spells out confidentiality requirements that we cannot divuldge any database content without your permission.

Q: How secure is the data? Are their daily backups?

A: Your data is very secure for several reasons. Our database servers operate in a continuous backup mode utilizing RAID-1 recovery technology. What this means is that the data is continuously saved to two disk drive locations, simultaneously, WITH automatic failover from one drive to the other in case of a drive failure. We also perform daily backups, or database copies, at least once every twenty-four (24) hour. And, upon request, we will provide physical database database copies on a CD.

REPORTS AND LETTERS

Q: What kind of Reports does FULLfocus offer?

A: A complete suite of reports are available ranging from association information, board members, inspection lists, job, work orders, violations, architecture requests, and so forth. Board reports are the very popular where summaries of, for example, open and closed workorders and be included in board packets. Reports are constantly evolving based on customer requests.

Q: Can you generate letters within FULLfocus?

A: Absolutely. FULLfocus interfaces directly with MS Word to prepare template (i.e. master) letters. Here, variables are inserted into the master letter which are substituted when applied to a real situation (i.e. job, work orders, violations, architectural modifications, etc). When the letter is generated edits can be made and the letter can be automatically saved to your PC or central server.

ADMINISTRATION & USERS

Q: Are there different levels of user privledges? If so, how are they set?

A: FULLfocus provides three privledge levels to regulate usage. The lowest level is "Guest" and permits visibility to the Global Hub. The Global Hub is a read only navigation module which is a complete property and resident listing, open activities (job, violation, architectural, etc) assignments such as parking space, storage lockers, visitors list, etc. The next level is "Manager" which permits access to most FULLfocus functionality. Finally, "Administrator" privledge allows access to company defaults, letter templates and user access.
